Work smarter, not harder, by setting up handy workflow automations to help save you and your team time and energy. In this guide, we'll take a look at how to automatically create a task in an Asana project when you receive a new videoask response. We'll use Zapier to set up this workflow.
In case you're new to Asana, it's a work management platform designed to help teams with planning, organization, tracking, and workload. Find out more about Asana here.
Send information about qualified leads, new candidates, student submissions, or whatever you use VideoAsk for to an Asana project to follow up with later.
Sound good? Let's get to it!
Before we get started, here's what you'll need to set up this workflow:
- A VideoAsk account
- An Asana account
- A Zapier account
Note: Free plans are available for these tools.
VideoAsk newbie? Check out how to create your first videoask.
From your VideoAsk account, select the videoask you want to connect to Zapier.
Click Connect to other apps.
Scroll down the list of integrations until you see Asana by Zapier. Click Connect.
Choose the correct options for your workflow from the dropdown lists. In our case, we want to Create Task on an Asana board when we receive a New Response (From a Respondent) in VideoAsk.
Click Connect VideoAsk + Asana. At this point, you'll be asked to sign into Zapier if you're not already.
Give your Zap a name in the top left corner. A Zap is the name Zapier uses to refer to an automated workflow.
In the Trigger box, check the app and event details are correct. Make any changes if necessary and click Continue.
Choose the VideoAsk account where the videoask you want to connect is located, or click Connect a new account and follow the instructions.
If you're a team member in more than one VideoAsk Organization, choose the one where the videoask you want to connect is located.
Choose the videoask you'd like to connect to Asana (you can use the search bar instead of scrolling), then click Next.
Click Continue.
Click Test trigger to check everything is working as expected so far.
If the test data looks accurate, click Continue.
In the Action box, check the app and event details are correct. Make any changes if necessary and click Continue.
Choose or connect your Asana account. You'll be asked to log into your Asana account if you're not already.
Click Continue.
Choose the correct Asana Workspace/Organization.
Choose the Asana Project where you'd like to add the task.
Note: You may need to click on Load More to view the correct project if you have a lot of projects in your Asana workspace.
Choose which Section of the Project to add the task to.
Decide what information you want to include in the task and fill in the relevant details using text/data.
When you've added all the relevant text and data, hit Continue.
Choose the option to Test & review. This will send an example Task to Asana.
Double-check everything is appearing as expected on your Asana board. Make any changes if required and when you're happy with how everything's working, hit Publish Zap.
And that's a wrap! You've built time-saving automation that will help you and your team stay organized and on top of things.
